Contracts Administration Coordinator

About the role:

The Contract Administration Coordinator will be responsible for the administration function of funding contracts within the organization. This role involves ensuring that all contracts are developed and executed in accordance with the organisation’s policies, legal requirements and industry best practices. It requires strong attention to detail, excellent communication skills and the ability to manage multiple contracts simultaneously. The expectations of the role performance will align with the bands outlined in the Capability Framework. This role is currently a two year contract however there may be the possibility for extension.

Key purpose of the role:

  • Provide the organization with insights into improving system integration across contract management and administration processes, ensuring contract management and commissioning applications meet the needs of the organization. This would include supporting the development and review of best practice contract administration and management and procedures which assist in the delivery of operational efficiencies and effectiveness.
  • Assist in the implementation of contract administration and commissioning system applications to deliver best practice outcomes for the PHN. This includes effective use and ownership of tender portals, contract database management systems and contract execution electronic tools.
  • Ensure all service providers have clear contracts in accordance with the PHN’s Commissioning Framework and procurement and contract management policies and procedures.
  • Provide administration support to internal clients in the commissioning life cycle in respect to new and existing contracts. This includes provision of administrative support with tender preparations, collation of completed tenders, review of tender eligibility, coordinating execution and storage of contract documentation and overseeing the submission of accurate and timely deliverables and funding acquittals.
  • Assisting in the drafting of new Schedules and Variations to Funding Agreements, related Schedules and other components of new contracts.
  • Provide general oversight of the contract administration daily requests, prioritising and assigning tasks to the Contract Administrator accordingly.
  • Providing tuition and trouble shooting support for the various PHN contract administration and management tools available for internal clients.
  • Managing and maintaining data input and accuracy of content in the PHN contracts management system.

Selection Criteria:

  • Minimum of 3-5 years of experience in contract administration or a similar role.
  • Demonstrated experience in contract lifecycle management and procurement including the coordination of contracts management with the specific ability to draft contract clauses, schedules and variations.
  • Proficiency in a range of contract management software tools, preferably Open Windows, Docusign and Tenderlink.
  • Excellent communication, negotiation, and analytical skills.
  • Experience is the use of fair, transparent and competitive purchasing processes.
  • Demonstrated ability to prioritise competing demands, exercise sound judgement, show initiative and to complete work in a process orientated, timely manner
  • Superior communication skills to effectively build relationships across a broad range of stakeholders, internally and externally.
